How do I turn a syllabus into a calendar?
Pull four things out of the syllabus: every graded item with its date, the grading weight table, recurring weekly work, and fixed dates like exams. Put the fixed dates in first, then the graded deadlines with their weight in the title, then recurring work as repeating events. Add your own preparation sessions before each deadline, because a due date is not a work session.

The order that avoids rework
- Immovable dates firstExams, presentation slots, required sessions. Everything else has to route around these, so placing them first prevents building a plan you then have to dismantle.
- Graded deadlines with weights in the titleWrite the percentage into the event name. 'Lab report (5%)' takes four extra seconds and makes every later scheduling tradeoff visible at the moment you make it.
- Recurring work as repeating eventsWeekly readings, problem sets, discussion posts. These consume the time you thought was free, and they are invisible unless you place them explicitly.
- Preparation sessions before each deadlineWork backward from the due date, subtract a buffer day, then place the sessions the task actually needs.
A concrete example
A syllabus lists ten Friday problem sets at 2% each, four lab reports at 5%, a week-7 midterm at 20%, and a 30% final. The midterm and final go in first. The fourteen deadlines follow, each labelled with its weight. Then eight preparation sessions are placed: two per lab report, since 5% each justifies more time than the 2% problem sets, which get one session apiece.
Exceptions
- Syllabi change during the term. The course site and the instructor's announcements are authoritative, not the PDF you downloaded in week one.
- Courses that release assignments on a rolling schedule cannot be fully calendared in advance. Place named placeholders with hour estimates instead of leaving the time blank.
- A 'drop your lowest score' policy changes the weight arithmetic for every item in that category.
